Privacy policy

This policy explains how Swoopwise collects and uses your personal data, as required by Malaysia's Personal Data Protection Act 2010 (PDPA). It applies to this website and to the enquiries you send us.

Last updated: 22 October 2026

01Who we are

Swoopwise is operated by [Company legal name] ([SSM registration no.]), [Business address]. We are responsible for the personal data described in this policy.

02What we collect

When you use the enquiry form, we collect:

  • Your name
  • Your work email address
  • Anything you write in your message

We collect this data directly from you. We save your language choice in a small cookie and your theme choice in your browser, only to show the site the way you chose. This site does not use advertising or analytics cookies, and all fonts are served from our own website.

03Why we use it

  • To reply to your enquiry and discuss your project
  • To prepare proposals and quotations you ask for
  • To deliver and support our services if you become a client
  • To meet our legal and accounting obligations

We do not sell your personal data or use it for marketing without your consent.

04Required and optional information

Your name and email address are required so we can reply. Your message is optional, but without it we may need to ask follow-up questions. If you do not provide the required information, we cannot respond to your enquiry.

05Who we share it with

We only share your data when it is needed for the purposes above:

  • Our email delivery provider (Resend), which passes messages from the enquiry form to our inbox
  • Service providers who host our email, files and business systems, under confidentiality obligations
  • Professional advisers, such as accountants and lawyers
  • Government or regulatory authorities when the law requires it

06Transfers outside Malaysia

Some of our service providers, including our email delivery provider, store data on servers outside Malaysia. When this happens, we take the steps required under the PDPA to keep your data protected.

07How long we keep it

We keep enquiry details for up to 24 months after our last contact with you. If you become a client, we keep project records for as long as the work needs them and as the law requires (for example, 7 years for accounting records). After that, we delete the data or make it anonymous.

08How we protect it

We limit access to people who need it, use password-protected and encrypted systems, and review our safeguards regularly. If a data breach is likely to cause you significant harm, we will notify you and the Personal Data Protection Commissioner as the law requires.

09Your rights

Under the PDPA, you can:

  • Ask for a copy of the personal data we hold about you
  • Ask us to correct data that is inaccurate, incomplete or out of date
  • Withdraw your consent, or ask us to limit how we use your data
  • Ask us to transfer your data to another organisation, where technically possible

Send your request to [privacy@your-domain.com]. We will respond within 21 days. If you are not satisfied with our response, you can complain to the Personal Data Protection Commissioner (Jabatan Perlindungan Data Peribadi).
